Intranet Platform Diagnosis

User Research and Workshop Design

Introduction

Is Low Usage Rate a Problem?

My client is a medical equipment company. Because of the big scale and complex process to sell medical equipment, they built a platform for all of the staff to share useful information 1 year ago. But the platform’s usage rate is pretty low. It did not improve the communicate as much as they expected.

Research

Usage Analysis

Yes, Usage Rate Is Low. However…

The website has log of usernames, login times, and page access. I processed this data into useful information. Besides usage rate, I also found detailed insights like which pages they use most often, how many people use more frequently than others, etc.

Questionnaire

Ask Actual Users

The questionnaire was intended to elicit information to describe user habits: satisfaction with features and preferred devices are used to come to final conclusions.

Design the Workshop

Align & Brainstorming

Produce Ingredients for Solutions

I designed the workshop as a 2 hours process to gather information and point of views. First, the redesign target is a platform. Some of attendees are information providers and the others are information takers. So I began the workshop with “what information should be on the Intranet?”. It brings all of them to the same point. Then, I led them gather context around it. Ideas come with context are more reasonable and easy to find alternatives. In the end of the workshop, I gave them lightning demo as homework.

Ideation

Lightning Demos, Solution Sketch, and Art Museum

I started this workshop with lightning demo, which was quite messy because half of the attendees just didn’t prepare anything. If I could do it again, I would prepare some demos for them as part of the design service. By doing so, they would have more inspiration in the solution sketch.

Final Ideas

Keynote of Findings

Overall, What is the Intranet Tool Position & Why?

We organized all findings in a report. Anyone in the company could understand what happened to the website and how should it be adjusted.

Suggestions

Conclusion: Six Design Guidelines

We gave six main suggestions on how to improve the website. Still, I found it hard to define an entire website structure and directions for each page. Suggestions were thus mostly about the primary use case and index page. In-depth study is necessary to redesign the interface. Afterall, the diagnosis allowed for great progress to redesign the program.
